Packing List: An Indispensable Document in International Trade

The packing list is a detailed inventory of every package in a consignment, with details of contents, dimensions, weight and markings. It complements the commercial invoice and is indispensable in international trade for customs clearance, insurance cover and checking goods on receipt.

What a complete packing list contains

Consignor and consignee, reference numbers (order number, invoice number) and, for each package: a serial number, a description, the number of units, gross weight, net weight, dimensions (L x W x H) and shipping marks and numbers. Plus an overall summary: total weight, total volume and the total number of packages.

Packing list vs commercial invoice

The commercial invoice contains values and prices – important for calculating customs value and for payment. The packing list contains physical details – weights, dimensions, package numbers – but no prices. The two documents are used together and must be consistent.

Why it matters for customs and insurance

Customs authorities require the packing list to check the description of the goods and the weights stated. For part deliveries or mixed consignments the packing list is essential. Insurers use the packing list in the event of a claim to establish the extent and value of the loss.
